New Upload

New students or student updates are made whenever new student data or packaging files are added to the system, this can be done via File Upload. To begin uploading new files click on the plus sign in the Red Bucket in the red bucket or from the Workflow tab next to Links.

Step 1. Requires you to select the category of the file you are uploading.

See an explanation for each category below.

Processing file – These are files used to process your student's financial aid such as, disbursement data or packaging data.
Config File – These are data templates used to configure your institution in the Campus Ivy systems, such as program setup template, campus locations, etc.
Dept, of Ed File – These are any files coming directly from any US Department of Education database such as COD response files, ISIR import files, COD Rebuild files, etc.
Supporting Documents – These are any documents needed to accurately configure your institution such as catalog, ECAR, program definition, etc.



Step 2. Requires you to select the specific file type for the category you chose in Step 1.

Processing File – Disbursement & Packaging, Student Data or Award Letter data file
Config File – Location data file, OPEID data file or Program Data file
Dept. Of Ed file – COD Response/Rebuild, ISIR Import file or ISIR Correction file
Supporting Document – Catalog, ECAR/PPA, Other

In step 2 each file type will have a template that gives you the file format needed to create each file type. Provide a copy of this template to the individual at your institution that will be responsible for generating the upload files. Each file type has a different template so please review each one separately.

Step 3. Allows you to select the file you wish to upload.


Click on browse and a file upload box will open for you to browse your directories and select the file you wish to upload.



Click on the file you wish to upload and click open. The file will appear in the Campus Ivy upload box, you must then click upload and the file will be imported into the CORE system.


Once uploaded you will be redirected to the batch detail screen where you can review the details and export all records with errors before submitting the records. To submit the successful records click on the Submit button at the top right corner of the screen.


Note: This step will not be required for US Department of Education files or supporting documentation file such as ECAR, catalog, etc.
